Terms of service
The agreement between Kermit Tech AS and the organisations that use HireOSS to assess candidates. By creating an account, you accept these terms on behalf of your organisation.
Last updated: 28 October 2026
01Who we are
- HireOSS is provided by Kermit Tech AS, a company registered in Norway with organisation number 927 441 217.
- Our registered address is L. P. Wettres vei 5, 1392 Vettre, Norway.
- Send questions and legal notices to contactus@hireoss.io.
02The service
- HireOSS assesses candidate documents and interview records against criteria the customer defines, and produces scores with cited evidence.
- The plans, their prices and their limits are shown on the pricing page. The Free plan has no charge. The Team plan is paid monthly or yearly. The Enterprise plan is agreed with us separately.
- We improve the service over time. If we remove or materially reduce a feature a paying customer relies on, we tell it at least 30 days in advance.
03Who can use HireOSS
- HireOSS is made for businesses and other organisations that hire people. You must be at least 18 to create an account.
- If you create an account for an organisation, you confirm that you are allowed to accept these terms on its behalf.
- If you buy as a consumer, you keep every right consumer law gives you, including the right of withdrawal where it applies. Nothing in these terms limits those rights.
04Accounts and organisations
- Each account belongs to one organisation.
- Roles and departments decide what a member can see. Administrators are responsible for who they invite and what access they grant.
- Two-factor authentication is available, and required for some kinds of access.
- The customer is responsible for activity under its accounts, and must tell us straight away if it suspects an account has been misused.
05Customer responsibilities
- The customer is the controller of the candidate data it uploads. We are a processor acting on the customer’s instructions, as set out in the data processing agreement.
- The customer must have a lawful basis for the candidate data it processes, and must give candidates the information they are entitled to.
- The customer must not upload data it has no right to process.
06Acceptable use
- Do not use HireOSS to discriminate against candidates on grounds such as gender, ethnicity, religion, disability, age or sexual orientation.
- Do not try to identify candidates while blind screening is on, other than through the reveal the product provides.
- Do not upload malware, or content that is unlawful or that you have no right to share.
- Do not try to get around plan limits, security controls or the separation between organisations.
- Do not scrape the service, overload it, or access it with automated tools other than those we provide.
- Do not resell or sublicense the service without our written agreement.
- If these rules are broken, we may suspend the accounts involved. Where we can, we warn the customer first and give it a chance to fix the problem.
07AI assisted evaluation
- Scores are generated by AI models and are advisory. HireOSS does not make hiring decisions, and the platform never rejects a candidate automatically.
- Evaluations cite the evidence they rest on, so a person can check them.
- Model output can be wrong. The customer is responsible for having a person review each assessment properly before acting on it, and for the decisions it takes.
- Under the EU AI Act, tools that evaluate job candidates can be classed as high-risk. We are preparing to meet the obligations that apply to us as the provider as they come into force. The customer is responsible for the obligations that apply to it as the user, such as human oversight and informing candidates.
- We do not use customer data to train AI models.
08Fees, billing and tax
- Paid plans renew automatically at the end of each monthly or yearly period until cancelled.
- You can cancel at any time in the billing settings. The plan stays active until the end of the period you have paid for, and is not renewed after that.
- Payments are handled by our payment provider, Stripe. Card details never reach us.
- Prices exclude VAT unless stated otherwise. VAT is added according to the customer’s location.
- If a payment fails, our payment provider tries again. Until it succeeds, the organisation is held to the limits of the Free plan. No data is deleted because of a failed payment.
- We do not refund part of a billing period after cancellation, except where the law requires it.
- We give at least 30 days’ notice by email before a price change applies to you.
09Data protection
- The data processing agreement forms part of these terms and governs how we process candidate data.
- The privacy policy explains how we handle data about the people who use the service.
- Sub-processors are listed publicly and kept current.
10Intellectual property
- The platform and its content belong to us or our licensors.
- Customer data belongs to the customer. The customer lets us use it only to provide the service.
- We may use aggregated statistics that cannot identify the customer or any person to operate and improve the service.
- If you send us feedback, we may use it without any obligation to you.
11Confidentiality
- Each party keeps the other’s non-public information confidential and uses it only for this agreement.
- This does not cover information that is already public, was already known to the receiving party, or must be disclosed by law.
- The obligation lasts for 3 years after the agreement ends.
12Warranties and limitation of liability
- We provide the service with reasonable care and skill, as described in these terms. We give no other warranties.
- We do not offer a service level or uptime commitment unless one is agreed in writing.
- Our total liability is limited to the fees the customer paid in the 12 months before the event that caused the claim, or NOK 5 000 if that is higher.
- Neither party is liable for indirect losses, such as lost profit.
- These limits do not apply to gross negligence, wilful misconduct, or anything that cannot be limited by law.
13Term, termination and data on exit
- The agreement runs until either party ends it.
- The customer can end it at any time by cancelling and closing its account. We can end it with 30 days’ notice by email.
- We may suspend or end the service straight away for a serious breach of these terms, or for fees that are still unpaid after a reminder.
- After the agreement ends, the customer has 30 days to export its data. We delete it within 30 days after that, and backups expire within 90 days.
14Changes to these terms
- We email account administrators at least 30 days before a material change takes effect, and update the date at the top of this page.
- If the customer does not accept a change, it can end the agreement before the change takes effect and get back fees paid for the rest of the period.
- Continuing to use the service after that date means accepting the change.
15Governing law and disputes
- These terms are governed by Norwegian law.
- We will first try to resolve a dispute through negotiation. If that fails, it goes to Oslo tingrett.
- A consumer can also bring a case where they live, or use the Consumer Council’s mediation service (Forbrukerrådet).
